Google Workspace vs Microsoft 365 for Real Estate Agents
Which suite suits a solo agent, a team or a brokerage? A practical comparison of email, files, calendar, security and cost, with migration tips.
Almost every agent ends up choosing between two suites: Google Workspace and Microsoft 365. Both provide professional email on your own domain, calendars, cloud storage, video meetings and document tools. Both are secure when configured properly and risky when left on defaults. The better choice depends less on features than on how you and the people around you already work. This guide compares them in terms that matter to a real-estate business.
The short comparison
Google Workspace is known for fast, browser-first tools, simple sharing and a clean mobile experience. Many solo agents and small teams like how quickly it can be set up and how easily documents can be shared.
Microsoft 365 is known for desktop apps such as Word, Excel and Outlook, deep management and security options and strong fit with larger organisations and commercial clients. Many brokerages, lawyers and lenders use it, so compatibility can matter. Plans and prices change, so check current offers before deciding.
Email and calendar in daily use
Both give you a professional address on your own domain and calendars that sync with your CRM. Gmail's search and labels suit people who handle a high volume of mail. Outlook's rules, categories and shared mailboxes suit teams that manage team inboxes or assistants working on an agent's behalf.
Whichever you choose, set up SPF, DKIM and DMARC for your domain, and make sure your email signature, branding and out-of-office messages are consistent.
Files, sharing and collaboration
Google Drive and Microsoft OneDrive and SharePoint both support shared folders, version history and real-time editing. Google's sharing model is simple and quick. Microsoft's offers finer controls, which help larger brokerages enforce retention and access rules.
Whichever you use, create a standard folder structure, avoid open sharing links and review external shares every quarter. A client's ID copy should never sit in a folder that anyone with the link can open.
Security and management
Both suites support multi-factor authentication, device management and alerts for suspicious sign-ins. Microsoft's conditional access and Intune are powerful for managing a brokerage's laptops and phones, while Google's endpoint management covers many small-team needs. Higher-tier plans add more controls in both.
The most important setting in either suite is multi-factor authentication for every user, followed by blocking legacy sign-in methods and reviewing admin accounts.
Cost and licensing
Both are priced per user per month, with tiers that add storage, security and compliance features. Add-ons for AI assistants, phone systems and advanced security increase the cost. Compare the full price of the plan you actually need, not the lowest starter plan, and watch for annual versus monthly billing differences.
If your brokerage already pays for one, ask whether you can use it. Moving later is possible but takes planning.
Migration without drama
Moving from one suite to another, or from free email to either, is a project, not a click. Plan a cutover window, move mail and calendar history, update DNS records carefully, notify contacts if addresses change and test sending and receiving afterwards. Keep the old system available for a few weeks.
Many agents choose to have an expert handle the DNS and migration steps because a mistake can interrupt email for a day, which is a bad day in real estate.
Your checklist
- List the tools your brokerage, lender and lawyer partners already use
- Compare the full cost of the plan you actually need
- Enable multi-factor authentication for all users
- Publish SPF, DKIM and DMARC for your domain
- Create a standard folder structure and review sharing quarterly
- Plan the migration cutover and test email afterwards
Where this fits in your tech plan
Good guidance works best as part of a joined-up setup rather than a one-off fix. These RealtyIT services address the topic of this guide directly.
Google Workspace for Realtors
We set up Google Workspace for your domain: professional email, shared drives for the team, calendars that sync with your CRM and security defaults that most small accounts never turn on.
A personal Gmail address on a business card feels small, and it leaves you without admin control when an agent departs. Workspace gives you a branded address, shared drives you own and one place to turn security on for everyone.
See the Google Workspace for Realtors service →Microsoft 365 for Realtors
We configure Microsoft 365 for a real estate business: branded Exchange email, OneDrive storage, Teams for chat and calls, and security baselines that protect forms, contracts and client details.
Many brokerages and commercial agents already live in Outlook and Word. A tidy tenant with sensible licences, multi-factor sign-in and managed devices is faster to use and far safer than a default setup left untouched.

Your email is the keys to every deal. We turn on multi-factor sign-in, publish SPF, DKIM and DMARC so nobody can easily fake your address, and watch for the hidden forwarding rules attackers use to quietly read your mail.
Wire-fraud scams against real estate usually begin with a compromised or spoofed inbox. A few hours of setup closes the most common doors and gives you a clear drill for the moment something looks wrong, which is when most of the damage can still be stopped.

Quick answers
Which suite is better for a solo agent?
Many solo agents prefer Google Workspace for simplicity, while those who work with Microsoft-based partners choose Microsoft 365. Both work well.
Can I use both?
You can, but it adds complexity. Pick one as your primary system for email and files.
Which is more secure?
Both are secure when configured properly. Turning on multi-factor authentication matters more than the brand.
Will I lose email during migration?
Not if planned properly. A careful cutover, mail history transfer and testing keep interruptions minimal.
Can RealtyIT set up either one?
Yes. See our Google Workspace for Realtors and Microsoft 365 for Realtors services.
