Buyers rarely message only one agent, and in a busy market the first useful reply tends to shape the whole conversation. The good news is that you do not have to be glued to your phone to be fast. With a few well-chosen automations, a solo agent or a team can reply in minutes, day or night, and still keep the personal touch that wins clients.

Why the first reply matters so much

Home searchers move quickly and often submit inquiries on several portals at once. The first message they receive that feels helpful and specific tends to anchor the relationship, because it answers a question they have right now. Slow replies, by contrast, signal that the agent may also be slow later, for example when an offer needs attention. We cannot quote a universal statistic, and numbers vary by market, but experienced agents consistently report that fast, friendly contact beats a perfect message sent tomorrow.

Speed is also fair to your own time. Responding in the moment, even briefly, lets you park the lead properly and return to what you were doing, rather than carrying a nagging list of unanswered inquiries through a showing.

Build a two-part reply: instant, then personal

Treat the first response as two messages. The instant message is automatic, arrives by text and email within a minute and says who you are, thanks the person, confirms the property or topic they asked about and offers one easy next step, such as a time to talk or a link to book a call. The second message is personal, sent by you or a teammate as soon as you can, and refers to something specific.

Write the instant message in your own voice. Avoid claims you cannot keep, such as 'I will call you right now' at midnight. A line like 'I will message you by 9 a.m.' respects the lead and keeps your promise realistic.

Routing rules that keep teams fair

When several agents share leads, routing decides who answers first. Common models include round-robin, where leads rotate among available agents, and claim-based pools, where the first agent to accept gets the lead. Rules can also route by price range, neighbourhood, language or lead source. Write the rules down and share them with everyone; most arguments disappear when the logic is visible.

Add availability settings so agents on vacation or in a long showing are skipped, and decide in advance what happens to unclaimed leads. A simple escalation, such as passing the lead to a backup agent after ten minutes and alerting the team lead after thirty, prevents silent delays.

Respect quiet hours and consent

Automation should never make you look pushy. Set quiet hours so texts are not sent late at night unless the person messaged first, and always include a simple way to stop messages. In Canada, commercial electronic messages are subject to anti-spam legislation known as CASL, and privacy rules such as PIPEDA govern how you handle personal information. We are not lawyers, so confirm specifics with your brokerage or counsel, but the practical rule is the same: be honest about who you are, make it easy to opt out and send only what the person would reasonably expect.

Keep records in your CRM of when and how each person contacted you, because that history helps if a question ever arises.

Measure what actually changed

After you turn the automations on, track three numbers: average time to first human reply, the share of leads contacted within an hour and the share that book a call or showing. Most CRMs, including Follow Up Boss and kvCORE, can report these by source and by agent. Review them monthly and adjust.

Example scenario: a solo agent receives most leads from a portal and her own website. She sets up an instant text and email, routes website leads to her calendar link and sets a reminder for any lead still marked New after thirty minutes. Within a month she is no longer finding leads that went unanswered over a weekend, and her evenings are quieter because the system holds things until morning.
